Automate the invitation, not the opinion
A useful review workflow remembers completed work and makes it easy for customers to share their experience. It should not write praise on their behalf or select recipients because an AI model predicts they will be happy. Keep the invitation neutral and optional. This is a customer-care process, not a promise of five-star reviews or a particular Maps position.
Use a consistent invitation rule
Google permits requests for genuine reviews without incentives or attempts to influence their content. Its policy prohibits selectively soliciting positive reviews and discouraging negative ones. Do not create a satisfaction questionnaire that sends only happy customers to Google. A private support route can be available to everyone alongside the public review link.

Start with completed-job records
For a fictional landscaping company, the inputs are an approved completion record, customer contact preference, verified profile link and previous invitation reference. The output is one review-request draft attached to the job. Exclude cancelled jobs and contacts who should not receive messages under your communication rules. Apply objective eligibility criteria regardless of expected rating; do not quietly exclude a completed job because a customer raised a concern. Handle service issues on their own merits.

Google provides a review link or QR code through Business Profile. Check that it opens the intended business before adding it to a template. An example invitation is: Thanks for choosing us for your recent project. If you would like to share your experience, you can leave an honest review here. Our team is also available if you need help with the work. Avoid rewards, requested star counts and instructions about what the customer should say.

Test exceptions before enabling delivery
Use sample records to test repeated completion events, two jobs for one customer, a cancelled job and an invalid contact. Decide how frequently repeat customers can receive invitations. Record draft, approved and sent states separately. A failed delivery should become a staff task, not endless retries. Have a person approve the template and selection rule. If your job-management tool already provides these controls, configure it before buying a custom agent.
Measure consistency and staff effort
Track eligible jobs, invitations sent, duplicates prevented and preparation time. In an illustrative month, 40 invitations taking three minutes each use two hours. Reducing preparation to one minute each releases 80 minutes of capacity. Compare that with setup, software and supervision costs; it is not a guaranteed cash saving.
