Understand the copying limit
No. Google says recipients can still take screenshots or photographs of confidential messages. Gmail disables the usual forwarding, copying, printing and downloading options, but this is not a guarantee that the information cannot be reproduced. Decide what you are willing to share with that recipient before relying on an expiry date or a disabled button.

Prepare the version staff approved
Imagine an office sharing a preliminary project quote. The proposed inputs are the approved quote version, intended recipient, permitted attachments and review date. The output is a checked sending brief. A staff member confirms the scope and removes material the customer does not need. An assistant may compare the brief with the approved record; the person responsible decides what goes out.
Choose access settings deliberately
Google documents an expiry date, optional SMS passcodes and the ability to remove access before expiry. These settings affect the message and its attachments. Without an SMS passcode, Gmail recipients can open it directly; non-Gmail recipients receive an emailed passcode. With SMS selected, use the intended recipient's phone number. Ask your administrator which settings are available in your account.

Test the recipient's practical next step
Use an approved test message with harmless sample content and accounts you control. Check opening the message, viewing its attachment and what happens when access ends. If the customer needs to download or print a quote for internal review, the disabled options may obstruct the job. Agree on an approved sharing method that supports the actual task. Test that method before sending a real proposal.

Keep connected workflows explicit
Do not assume a CRM, mail connector or document assistant applies the same access settings as a message composed in Gmail. Check its actual behaviour with sample content. A proposed automation can prepare the approved version and recipient checklist while staff send through the tested route. Record the next customer action separately; removing access does not prove that a proposal was declined or that copied information disappeared.
Measure review effort and access problems
For illustration, checking eight proposal packs at five minutes each uses forty minutes. A prepared checklist taking three minutes per pack uses twenty-four minutes. Add five minutes for checking the workflow, leaving eleven minutes of staff capacity per batch. Include setup, training and any recurring tools in the decision. Track recipient access problems and incorrect versions too. These are assumed inputs, not measured savings or extra sales.
