Inventory the open work first
Imagine an office wants a colleague to handle installation enquiries. The proposed inputs are the agreed filter criteria, approved destination and list of existing conversations still needing action. The output is a reviewed handover list with one responsible person per request. Read each actual conversation before including it; an old subject line does not establish that the customer is still waiting.
Preview the criteria before choosing an action
Google documents checking the search results before creating a filter. Use that preview to inspect both intended matches and unrelated mail. Start with harmless sample messages, and have the mailbox owner approve the destination and routing purpose. Forwarding can expose correspondence to another account, so decide which information that colleague actually needs before making the rule operational.

Google also states that a reply is filtered only if it meets the same search criteria. In the proposed test, inspect a matching new message and a later reply whose content differs. Record what actually reaches the destination. Arrange a manual review path for open requests that fall outside the rule instead of assuming a whole conversation will always follow its first message.

Check the receiving workflow separately
If a helpdesk or automation reads the destination, verify its actual treatment of forwarded messages, customer identity and repeated imports. A forwarding filter does not prove that a connector created the right task. AI can prepare a concise handover summary for staff review. The native rule plus a maintained open-request list may already be enough without a custom system.
Measure the handover and its upkeep
For illustration, reviewing twelve open requests at five minutes each takes 60 minutes. If an organized list reduces that to three minutes each, the capacity released is 24 minutes for that handover. Include initial setup, staff training, destination checks, exception review and any recurring software costs. Track overlooked and duplicate requests too.
