Changing Gmail's From address may not change where replies arrive

Check the reply destination as well as the sender identity before relying on a Gmail alias workflow.

Google's Gmail guide says changing only the default From address leaves replies going to the original Gmail address by default. Choosing a different reply destination requires a separate reply-to setting. Review both addresses before using the workflow for customer messages.

Account for the announced support change

As checked on October 3, 2026, Google's guide announces the end of Gmail Send as support for third-party addresses in January 2027. Google Workspace aliases and other Gmail addresses you own are unaffected. Verify your account type before building around the feature. A test today does not establish compatibility after an announced change.

Work through a fictional repair office

Imagine an office wants estimates to come from its quotations address and replies to reach the person who reviews them. The proposed input is a short record of the sending account, visible address, intended reply mailbox and responsible staff member. The office lead checks these choices before changing a default. The output is an approved routing record, not an assumption that a professional-looking sender name means the right team receives replies.

Run a controlled conversation test

Use a harmless message addressed to a mailbox controlled by your business. Inspect the received sender details, use Reply, and check the address selected before sending the test response. Then confirm which inbox received it. Record the result and check date. Include the actual tool that sends your customer messages: a browser test alone does not verify a separate automation or mailing service. Keep real customers out of the test.

Keep ownership clear after setup

Assign someone to monitor the destination inbox and review any exceptions. Do not change another person's mailbox settings just to make a test pass. If the account or integration cannot support the required route, pause that workflow and compare available alternatives with your provider. AI can prepare a checklist or summarize observations; a staff member should verify actual messages and approve configuration changes.

Estimate the time spent moving replies

For illustration, manually forwarding eight misplaced replies at two minutes each takes 16 minutes per week. If a tested routing change leaves two exceptions requiring the same effort, it releases 12 minutes. Include setup, monitoring, staff training and any replacement software costs in the comparison. This estimates staff capacity, not cash savings or a guarantee of delivery. Track whether messages still reach the person expected to act on them.
