Check the file type and the version you need
For PDFs, images and other stored files, Google says an older version might be permanently deleted after thirty days or when there are one hundred newer versions. Keep forever can preserve a selected version. Google Docs, Sheets and Slides use a different version-history system. Identify the actual file type before applying a rule meant for an uploaded PDF.

Connect the file to its approval record
Imagine a team updating a PDF installation checklist after a supervisor approves changes. The proposed inputs are the file reference, approval date, reviewer and version description. The output is a register linking the approved checklist to the version staff retained. Read the PDF and compare it with the approval record. An upload timestamp alone does not establish that someone approved its contents.
Retain the selected version on a computer
In Drive, select the file and open More, then Manage versions. Next to the version you need, open its menu and choose Keep forever. Google says the checkmark confirms that version will not be deleted. You can also download that version. Have the responsible reviewer confirm the retained file is the approved one, rather than pinning every draft without a reason.

Try the replacement process with sample files
In a practice folder, upload a harmless PDF and retain the selected version. Use Manage versions and Upload new version to add a revised sample. Inspect the earlier version and download it for comparison. Record the result and who checked it. If your actual process creates separate files instead, map those records explicitly; do not assume an identical filename creates the version history you intended.

Separate version preservation from recovery planning
The proposed register should show a reviewer, retained version and unresolved exceptions. An assistant may flag a missing approval or prepare a comparison summary, but staff verify the source PDF. If a connector uploads replacements, test its file matching and version handling before relying on it. Keep a separate recovery process appropriate to your business; a pinned version is not evidence that you can recover a deleted file or a lost account.
Compare recurring effort using your own numbers
Suppose reviewing twelve document updates takes four minutes each, or forty-eight minutes. A prepared register reducing review to two minutes each uses twenty-four minutes. With ten minutes of maintenance, the illustrative net capacity released is fourteen minutes per cycle. Include setup, training, storage and any connector costs. Measure missing approved versions alongside time. These assumptions value staff capacity and do not establish cash savings.
