Decide whether the file is needed now
Adding a photo upload to an enquiry form can help staff understand a job, but it can also add a step customers cannot complete. First decide which information is essential to start the conversation. A proposed approach is to collect the basic request first and ask for supporting files when they are needed. An upload failure should not silently erase an otherwise useful enquiry.
Know the Google Forms requirements
Google says respondents must sign in to a Google Account to answer a file-upload question. That question type is unavailable when the form is stored in a shared drive or the administrator enables Data Loss Prevention. Uploads are stored in a new folder in the owner's Google Drive. You can restrict file types, file counts and individual file size. Check those constraints before choosing Forms for public customer intake.

Map a fictional repair enquiry
Imagine a repair business requesting a description, a contact method and a photo of the damaged item. Its office lead decides that a photo helps assessment but is not required to make initial contact. The proposed output is an enquiry record with a file status: received, requested or unavailable. Staff review the photo and description together before discussing suitability or preparing an estimate. A submitted photo is not approval of a job.
Test as an outside customer
Use a test form and harmless sample images. Try the respondent link while signed out, with a personal account and from a phone. Check an accepted image and a file beyond the chosen size limit. Confirm the office reviewer can open the resulting file without sharing the upload folder publicly. Record each outcome; testing as the form owner alone does not establish what an outside customer will experience.
Keep a clear fallback
If account sign-in is unsuitable for your audience, assess another intake tool or a separate, approved way to provide the file. Explain how staff will match that file to the original enquiry. Test any integration against the actual upload location and permissions before connecting it. AI may help organize the request, but it should not invent details from a missing or unreadable photo. Route those cases to a person.
Estimate the whole intake effort
For illustration, 12 enquiries requiring four minutes of attachment chasing use 48 minutes. If a tested workflow removes chasing from eight, it releases 32 minutes per month under those assumptions. Compare that with customer difficulties, setup, storage, any software subscription and ongoing support. Track completed enquiries and exceptions after launch. Released staff capacity does not automatically become a cash saving, and a small volume may justify a simple manual process.
