Treat the form and response sheet as two checks
Removing a form collaborator is not a complete check of the linked spreadsheet. Google explains that collaborators receive access when a new response spreadsheet is created, but subsequent form permission changes do not synchronize automatically. To change or remove access, update the form and linked sheet separately. Collaborator access is editor access; people who only fill in a form are a different audience.

Build a small intake handover record
Imagine an office where a temporary assistant helped maintain a customer intake form and review its response spreadsheet. Their assignment ends. The proposed inputs are the actual form link, linked response-sheet link, assistant's account, continuing process owner and approved end date. Record the intended outcome for each file. The output should contain two reviewed access results, not one tick beside the assistant's name.
Make the two changes and record each result
Ask the authorized file owner to review the form's sharing controls and remove the collaborator's access as approved. Then open the linked response sheet and review its sharing controls separately. Record who performed each change and when. If either file is missing, inaccessible or owned by someone else, leave that row unresolved and route it to the responsible owner. Do not mark the handover complete because the first change succeeded.
Check the continuing team's workflow
Use harmless sample data to check that the continuing staff can still maintain the form and review responses. Have the owner or administrator review any other access paths that could affect the intended result, such as group membership or broader sharing. Distinguish evidence about current access from assumptions about previously copied data. This checklist does not establish that earlier exports or copies have been erased.
Review connections without rebuilding the process
List any integrations or staff procedures that depend on the departing person's account and assign someone to review them. Avoid deleting the response sheet simply to resolve an access question. Other form products, spreadsheet tools and connectors require their own permission checks. AI can prepare the handover record and flag incomplete rows; staff should approve changes and verify that the real intake process still works.
Compare the checklist with repeat investigation
For illustration, reconstructing access for four handovers a month at fifteen minutes each takes an hour. If an established checklist needs six minutes per handover, it releases 36 minutes monthly. Include the initial inventory, owner reviews, staff training and recurring integration costs. This estimates staff capacity, not a guaranteed financial saving. Measure unresolved access and interrupted intake work alongside time so a short checklist remains useful.
