Google Forms receipts and staff notifications do different jobs

Check customer response receipts and staff email notifications separately so a submitted enquiry becomes work someone actually owns.

Choose who needs to hear about a submission

A customer receiving a copy of their answers does not establish that your office has noticed the enquiry. Google Forms provides separate controls for response receipts and new-response email notifications. Treat them as two checks in your intake process. Before adding AI follow-ups, confirm which person owns the next step after someone fills in the form.

Check the native settings first

In Forms, staff notifications are enabled from Responses, then More, then Get email notifications for new responses. Customer receipts require email collection; the response settings let you send copies when requested or always. Google notes that spam filters and counter-abuse measures can prevent expected receipts. A missing email alone is not proof that a submission failed.

Try a small service-enquiry example

Imagine a repair company collecting an item description and preferred contact method. The customer wants a record of what they submitted. The coordinator needs to review the problem before assigning a technician. Write those two purposes separately: customer copy for reference, staff alert for triage. Neither should be described as a confirmed appointment or an accepted price.

Test the whole handover

Use a clearly labelled test enquiry and an address you control. Check the saved response, the customer copy if enabled, and the designated staff inbox. Record the submission time and who checked each destination. Include a test of the optional receipt choice if you use it. Do not repeatedly ask a real customer to submit again just because a notification has not appeared.

Turn an alert into assigned work

Create a simple office checklist with received time, responsible person, next action and completion state. If an assistant summarizes an enquiry, compare its summary with the original response before acting. Keep an exception queue for missing contact details or unclear requests. Review who covers the inbox during absences. Native notifications may be sufficient; an integration is useful only when it solves a defined handover gap.

Measure the value without counting every alert as a lead

Suppose staff spend 10 minutes each day locating enquiries across inboxes. Reducing that to five minutes over 20 working days releases an illustrative 100 minutes of capacity. Subtract setup and maintenance effort, and track missed handovers separately. This does not establish additional sales.
