Will Sheets conditional notifications notice changes imported from another file?

Check the limits of Google Sheets conditional notifications before relying on imported job statuses to alert your office.

No. Google says external data changes, including values linked through IMPORTRANGE, do not trigger conditional notifications. A displayed job status can therefore change without the expected email. Before relying on an alert, identify whether staff edit the monitored cells directly or those cells receive data from another source. A quiet inbox is not evidence that no work needs attention.

Define the handover you actually need

Imagine a coordinator importing job statuses from a dispatch workbook and wanting to review newly approved work. The proposed inputs are a stable job reference, previous status, current status and source record. The output is a list of changed jobs with a responsible reviewer. Staff check the original record before preparing an invoice; an imported status alone should not authorize billing.

Check the native feature and account first

Conditional notifications are available only to certain work or school accounts. Google currently limits recipients to individual Gmail or Workspace addresses, excluding groups and non-Google recipients. For a directly edited status column, the native rule may fit. Ask the administrator about eligibility and use an approved test recipient before adding subscriptions or commissioning a custom integration.

Test the change that your real process makes

In a harmless test workbook, try a direct edit and then a change in the source feeding IMPORTRANGE. Record the displayed value and whether a message arrives. Google also documents limits involving formatting changes and TODAY() recalculation while a document is closed. Notifications can be delayed or combined. Inspect the available trigger history and the underlying job list rather than using email count as your completion measure.

Choose an explicit fallback for imported work

Start with a scheduled staff review of changed jobs if that covers the need. A proposed integration could compare approved snapshots and prepare differences for review, but its permissions, refresh behaviour and stable record matching need testing in your actual tools. Keep unresolved changes visible when the connection fails. AI may summarize the differences; the coordinator decides which jobs are ready for the next step.

Estimate the effort including maintenance

For illustration, checking sixteen jobs at four minutes each takes 64 minutes. A reviewed comparison taking two minutes each uses 32 minutes. If maintaining and checking the workflow adds ten minutes, the net capacity released is 22 minutes per review. Include initial setup, training and recurring software costs in your decision. Measure missed handovers too; these figures are assumptions, not cash savings or a delivery guarantee.
