Give each person the view they need
A regular Google Sheets filter is visible to other people using the spreadsheet. Filter views let people inspect different filtered views at the same time. For a shared job list, this can reduce the need to ask colleagues to remove a filter before someone else can work. Use the desktop workflow described by Google and test it with the people who maintain your sheet.

Define two useful work queues
Consider a fictional maintenance office. The coordinator needs unassigned jobs, while the estimator needs quotes awaiting a site visit. Agree on the exact status labels and required fields before building either view. Use one row per job with a stable job reference, owner, status and next-action date. The inputs are maintained records and agreed criteria; the outputs are two named queues for different tasks.
Create and name the views
On a computer, select Data, then Create filter view. Apply the criteria, save the view and give it a descriptive name such as Unassigned jobs. Existing views can be opened through Data, Change view. Google also supports sharing a view's URL. Someone with view-only access can create a temporary filter view, but it is not saved. Choose the workflow that matches each colleague's actual access.

Test with two colleagues
Ask the coordinator and estimator to open their respective views together. Use labelled test records that should match each queue and one that should match neither. Add a new test row and confirm the intended view includes it. Record the range and criteria so a missing job is investigated rather than assumed complete. Have a staff member compare both queues with the full list before adopting the process.
Keep viewing and editing separate
Treat a filter view as a way to inspect shared work, not as a separate private customer database. Staff should still check the job reference before editing a record. Do not use hidden rows as your confidentiality plan. If an AI assistant produces a work summary, specify which records it should read and verify its output against known examples; do not assume the assistant uses the same visible view as the person watching the screen.
Check whether the small change is enough
Suppose three colleagues each spend five minutes a day resetting filters or asking for an unfiltered list. Across 20 working days, that is an illustrative five hours of interruption. Measure what remains after introducing the views and subtract setup and maintenance effort. Recovered time is staff capacity, not guaranteed cash savings.
