Before allowing IMPORTRANGE, review who can edit the destination

A selected import range is not the same as a limit on what destination editors can pull from a connected source spreadsheet.

Review access before making the connection

Before approving a Google Sheets import, check both the source contents and who can edit the receiving file. A formula showing a small selection of cells does not establish a permission boundary around just those cells. Treat the connection as an access decision, not merely a convenient way to avoid copying a few rows.

Understand what Allow Access enables

Google explains that IMPORTRANGE requires permission when a destination first pulls from a new source spreadsheet. Once granted, any editor of the destination can use IMPORTRANGE to pull from any part of that source. The permission remains until the user who granted it is removed from the source. A narrow range in your current formula should therefore not be treated as a restriction on other imports.

Build a fictional dispatch handover

Suppose a service office keeps a master job spreadsheet that combines scheduling details with internal cost information. The proposed review asks whether everyone editing the dispatch file should be able to import from that source. The office lead inventories the source fields and destination editors before approving anything. The output is an access decision and an approved set of scheduling details, rather than a working formula alone.

Use a source that matches the intended audience

If the master file contains information outside the dispatch team's intended access, consider a separate source file containing only reviewed dispatch details. Check that it does not carry other live connections or unintended fields. Decide who maintains it and how corrections reach the dispatch team. This is a proposed design to review with the file owner, not a claim that hiding a tab or naming a range enforces access limits.

Test results and update timing

Test the design with harmless sample records and the actual staff roles before connecting live data. Google notes that chained IMPORTRANGE connections can delay changes reaching later spreadsheets. Do not label the destination a real-time operational feed just because the import returned values once. Record how the team checks freshness and what to do if the import is waiting or unavailable. Excel workbooks and other connectors need their own compatibility and access review.

Compare maintenance with the copying it replaces

For an illustrative calculation, copying a dispatch list three times a week at ten minutes each uses 30 minutes. If an approved process needs three four-minute checks instead, it releases 18 minutes weekly. Subtract source-file maintenance, permission reviews, setup and any recurring integration costs. Measure stale or incorrect job details as well as time. The benefit is staff capacity only if the reviewed information reaches the people allowed to use it.
