Start with the search you want to exclude
Before adding a negative keyword, record the unwanted customer intent and examples of enquiries you still want. AI can organize suggestions, but the person who knows your services should approve the exclusion and its scope. A long list is not evidence of better targeting.
Understand the three Search match types
Google documents three negative match types for Search. Broad blocks searches containing all the specified words, in any order. Phrase requires those words in the specified order, with additional words allowed. Exact applies to that ordered wording without extra words. These rules differ from positive keyword matching. Synonyms and singular or plural forms need separate consideration; do not assume one entry covers them.

Work through a fictional repair shop
Suppose a repair shop wants paid repair enquiries but does not sell repair manuals. Its manager reviews searches involving manuals alongside useful searches about booking repairs. The proposed output is a decision sheet: observed query, reason it is unsuitable, proposed exclusion, match type, affected campaign and reviewer. Excluding a core service word would be a poor starting point because the business still wants that service.
Give the reviewer a counterexample
For every proposed exclusion, add a useful search that might be caught accidentally. Ask whether it refers to a service the business offers, a product it sells, or a question its team can answer. If intent is unclear, hold the suggestion rather than publishing the entire AI-generated list. Keep the previous settings and a decision note so a later reviewer can reverse the change.
Keep campaign types and scope separate
This workflow concerns Search. Google says Display and Video negative keywords behave differently. Account-level exclusions can affect eligible inventory across campaigns, so confirm scope before applying a list. Start with native controls; a custom integration is unnecessary for a small review register. After changes, compare query relevance and qualified enquiries over a suitable period. Fewer clicks alone do not establish improvement.
Estimate review capacity
As an illustrative calculation, reviewing 24 suggestions at three minutes each takes 72 minutes. If a prepared register reduces review to two minutes each, it releases 24 minutes per cycle. That is staff capacity, not demonstrated ad savings. Include setup time, any tool subscription and ongoing review effort in your comparison. Measure actual enquiry quality before assigning financial value to the change.
