Look for repetition before ambition
Start with a task someone repeats every week: summarizing notes, sorting inquiries, or preparing a report. The best first workflow has a clear input, a recognizable output, and a person who can tell whether the result is good.
Write down the current process
List who does the work, which tools they open, what information they need, and what happens when something is missing. Time five representative examples. Include checking and correcting work, not just typing.
Choose a low-risk pilot
A draft is often a better first output than an automatic action. Let AI prepare an email, then ask a person to review it. Avoid starting with payments, employment decisions, or other high-impact actions.
Define success in advance
Choose a target based on your baseline. For example: reduce preparation time while maintaining the same quality. Track the time spent reviewing outputs, the failure rate, and whether people actually use the system.
Keep a stopping rule
Decide when the workflow should ask for help. Missing information, conflicting records, or an unfamiliar request should trigger a human review rather than a confident guess.
