HYPOTHETICAL CASE STUDY / COMMUNICATION

Give customers answers without giving away your whole day.

A busy service office handling repeat questions, status requests, and customer handoffs each month.

BEFORE / MANUAL PROCESS$1,400/mo

40 staff hours × $35/hour

AFTER / PROPOSED AI WORKFLOW$659/mo

10 staff hours + software + care

POTENTIAL CAPACITY FREED UP30hours/mo

$741 lower modelled monthly cost

All figures are fictional CAD planning inputs before tax. Monthly cost means the value of staff time plus incremental operating costs. Setup is additional; these are not measured savings or an Exovara service quote.

WHY IT BECOMES A HASSLE

The work behind the work.

Staff search for the same answers, rewrite the same updates, and forward messages to find the right person. Interruptions make it harder to finish the work customers are asking about.

What we are comparing: Routine customer communication and request routing within one shared inbox.

HOW AI CHANGES THE PROCESS

A workflow your team can run.

  1. Sort incoming requests by topic and urgency.
  2. Prepare replies using your approved service information.
  3. Assign exceptions and sensitive messages to a team member.
  4. Track unanswered requests and prepare customer updates.

HOW EXOVARA WOULD IMPLEMENT IT

Map it. Build it. Test it together.

We connect a shared inbox to one task workspace, build an approved answer library, and configure routing rules. Replies begin in draft mode while your team checks accuracy and escalation behaviour.

The example budget is $2,500 for a bounded first workflow using up to two supported tools: process mapping, configuration, templates, testing, team training, and 30 days of setup fixes. We confirm compatibility and a fixed scope first. Extra integrations, data cleanup, and broader systems are quoted separately.

Your team stays in control

Staff approve replies during the pilot and handle complaints, unusual commitments, and sensitive information. Any later auto-send rules are limited to messages you explicitly approve.

THE NUMBERS, OPENLY EXPLAINED

What the example includes.

Manual work before
40h × $35 = $1,400/mo
Review & exceptions after
10h × $35 = $350/mo
Assumed extra software / usage
$60/mo
Optional Exovara care, included here
$249/mo
Total after implementation
$659/mo
One-time setup assumption
$2,500
First 12 operating months, net of setup
$6,392 modelled benefit

At these assumptions, accumulated capacity value less running costs offsets setup in about 4 operating months. This is not cash payback unless the freed time reduces an actual expense or creates measurable additional value.

Prove the value in your business.

These examples assume stable workload and the review hours shown above. We would measure time, errors, and exceptions before and during a pilot. Software figures are budget placeholders; actual subscriptions and usage depend on your tools. Monthly health check for one workflow, up to 1 hour of minor improvements, and email support within 2 business days. No emergency coverage. Cancel before the next billing period. Larger changes cost extra.

Phone coverage, complex complaints, and specialist customer advice remain with your team. Existing tools and professional fees excluded here are excluded from both sides. Ramp-up time is not modelled. If the same staff remain on payroll, the immediate benefit is capacity rather than a smaller payroll bill.
