Can AI write differently without changing your business facts?

Separate flexible wording from fixed facts before buying an AI drafting workflow. Use an order-update example and a practical fact-check card.

Define what may change before comparing drafts

Different wording can be acceptable when an AI helper drafts a customer message. A changed quantity, status or promise is a different problem. Before buying a drafting workflow, decide which facts must remain tied to an approved source and which parts may be rewritten. If every word must be identical, a fixed template may be the simpler choice. If staff need clear variations for different readers, test whether the proposed tool preserves the facts while changing the explanation.

Compare three messages against one source

Use this invented dispatch record: order R21 contains twelve units; the courier has collected it; an arrival estimate is not yet available. "The courier has collected the twelve units in order R21" and "Your twelve-unit order R21 is now with the courier" preserve those facts. "Your order will arrive tomorrow" adds an unsupported promise, however natural it sounds. The decision is not which draft sounds most confident. Check each draft against the approved record before discussing tone. These are illustrative drafts, not results from a tested system.

Create a fact-check card for the task

Record the source and its version, the fields that must be preserved, allowed wording changes, information that remains unknown and who reviews the result. For the dispatch example, preserve the order reference, twelve-unit quantity and collected status. Allow changes to the greeting and sentence order. Keep the arrival estimate explicitly unavailable. If a newer source supplies an estimate, that becomes a new test case with a new approved fact. Do not ask the assistant to fill the gap from what usually happens to similar orders.

Ask what the proposed consistency controls actually do

Google Cloud documents controls affecting variation in generated text and notes that its repeatability setting does not guarantee identical output. Available controls differ by model; a promise to turn randomness off is not a business acceptance criterion. Some systems can require a fixed output structure, such as named fields for an order reference and status. Google Gemini documentation still requires checking the values and handling outputs whose format is valid but meaning is wrong. A correctly formatted record can contain the wrong status. Have the provider explain the actual tool, model and checks used in your proposed setup.

Primary documentation checked October 18, 2026, including the current destination of the former Vertex AI URL. Supports variable model controls and the absence of a deterministic-output guarantee, not a recommendation for a universal parameter value. Test flexible language and fixed facts separately

Ask for several drafts from the same harmless record, then one version for a customer and one for an internal colleague. Staff check the fixed fields on every draft and separately judge whether the language suits its reader. Repeat with a missing quantity and with a source stating that collection has not happened. The expected result should keep the gap or changed status visible. Do not pick the most common answer as the truth: several drafts can repeat the same mistake. A small successful exercise supports a limited pilot, not a guarantee about every future input.

Choose a template, a draft helper or a connected workflow

Use a template when the approved fields and wording are settled. Consider AI drafting when varied explanations justify the checking effort. A connected workflow additionally needs access to the correct source and an owned review step before messages leave the business. Compare preparation, verification and correction minutes across complete tasks, including rejected drafts. Include setup, software usage and ongoing review in costs. Released staff capacity is not automatically cash saved.
