Decide whether you need a copy or a connection
AI can help organize an approved event list for a calendar file, but importing that file is different from keeping two systems connected. A one-time import may suit a settled list of internal events. If dates will keep changing, ask how those changes reach the calendar and who checks them. Start with a reviewed event list and a small test calendar, rather than adding an unexamined file directly to the calendar your team uses.
Prepare an event review record
For every event, record its source reference, title, complete date, start and end time, time zone, all-day choice, location and any repeating pattern. Name the destination calendar and the staff reviewer. Keep unclear fields unresolved instead of guessing a duration or turning a date-only note into an all-day event. Use information your business is permitted to share with the chosen tool. The expected output is a compatible file plus the reviewed event record, so staff can compare what was requested with what appears.
Use three fictional source notes to check the handover
A note saying Workshop Thursday at 10 lacks a complete date and end time, so it needs clarification. A second note gives a complete meeting date and time in America/Vancouver; preserve that zone and verify the resulting event in the intended calendar view. A third lists a weekly meeting and one cancelled occurrence; the import must not silently restore the cancelled meeting. These are written review examples, not calendar files, imports, appointments or bookings we created or tested.

Understand the import limits in the intended app
Google documents importing ICS or CSV files on a computer and says imported events do not remain in sync between accounts. It also says event guests and conference data are not imported, and CSV repeating events may appear as separate events. Microsoft distinguishes an imported ICS snapshot from subscribing to an online calendar in Outlook.com or Outlook on the web; subscription updates can be delayed. These are different delivery choices. Ask a provider to demonstrate your actual app, permissions and required fields before agreeing that a file import covers the whole scheduling task.

Check changes as well as the first import
In a separate calendar, compare the expected event count, dates, start and end times, all-day choices and repeating arrangements with the reviewed source list. Agree how a corrected event will replace or update its earlier copy, then try one harmless change and check for an unwanted extra entry. Test any reminder behaviour you intend to use. Keep guest invitations and live booking confirmation outside the first scope unless they are explicitly included and demonstrated. A correct test import does not establish an ongoing connection to a job board or booking tool.

Buy a clear update and handover plan
A first scope can stop at the approved event list, import file, checked test calendar and instructions for corrections. If ongoing updates are necessary, agree the authoritative source, supported connection, acceptable delay, failure notice and reviewer. Compare preparing, checking and correcting a file with entering the same small list manually. Include setup, subscriptions and later schedule changes, using your actual event frequency. Staff capacity gained is not automatically a cash saving. Exovara can help choose a practical calendar handover with review before anything affects the working schedule.
