Use the photo to start an enquiry
AI-assisted visual search can help staff find pages and images worth investigating when a part is unfamiliar. Treat the output as a candidate list for review. A similar-looking item is not, by itself, a confirmed replacement. Start with one ordinary parts enquiry and ask for a clear record of the photo, visible identifiers, candidate source and unanswered questions. Keep technical suitability and ordering with the responsible staff or supplier.
Gather the information a photo does not settle
Keep the original image and the equipment or job reference together. Where available, include a readable label, the exact printed code, model information and staff-confirmed dimensions. Record uncertain characters as uncertain instead of letting an assistant complete them. Use images your business is permitted to upload and remove unrelated customer information from a sharing copy. If the original label cannot be read, a clearer source or a supplier question may be more useful than another confident image description.

Compare three fictional candidate records
Use a record containing the source photo, observed text, candidate page, matching evidence, mismatch or missing information, and reviewer decision. In a fictional first case, the label reads X17 while a visually similar result is X71: hold the match. In a second, the overall housing looks alike but the visible attachment layout differs: do not approve it from appearance. In a third, the supplier confirms the replacement reference but stock and price remain unanswered: keep those as separate open questions. These are written review cases, not parts, searches, supplier confirmations or compatibility tests we performed.
Try ordinary visual search before a custom agent
Google documents Lens image searches returning object-related results, similar images and websites containing the same or similar images. It also lets a user add descriptive text to refine an uploaded-image search. Google describes Lens use on phones and in a computer browser. Those capabilities can help someone gather leads without building a purchasing agent. They do not establish that a result fits your equipment or that a listing is current. Have a provider demonstrate the intended account and permitted sample, then inspect the actual source pages rather than approving the search summary alone.

Keep the handover tied to supplier evidence
Ask staff to preserve the candidate URL, the exact identifier and the reason it remains a candidate or becomes an approved reference. Keep the supplier response or catalogue evidence beside that decision, and separate quoted availability from a requested delivery date. A matching photograph cannot fill an unreadable model field. If the enquiry also becomes a warranty claim, purchase records and the reported fault need their own review; finding a picture does not establish coverage or authorize a replacement.

Buy a better enquiry process before automatic purchasing
A small first scope can include the photo brief, candidate record, missing-information question and reviewed supplier enquiry. Compare search time, identifier checking and clarification work with the current process across representative cases, including unsuccessful searches. Include software, catalogue access, setup and review costs. Staff capacity gained does not automatically reduce an expense. Consider a connected internal catalogue only after confirming access, supported searches and a usable staff review step. Exovara can help organize that handover around existing tools; ordering and technical approval require their own agreed process.
