Can AI draft quotes without deciding your prices?

Check approved price sources, quantities and changing draft prices before scoping quote drafting with staff approval.

Give the helper a defined preparation job

You can scope an AI helper to organize a customer request, propose item references and prepare wording while approved business records supply the prices. Staff still check what is being offered. Begin by separating the description of the work from the source of each amount. Microsoft Dynamics 365 Sales, for example, calculates quotes using catalog records, price lists and quantities. That illustrates a structured pricing approach; it is not a recommendation to replace your current quoting tool.

Current primary tool documentation checked October 14, 2026. The price reference card and pack and item exercise are original proposals, not client results or financial recommendations. Microsoft: quote records, price lists and line items

Make a short price reference card

For one proposed quote, record the approved item reference, description, quantity unit, currency, price source and source version. Add who may approve a discount, which charges remain undecided and whether the output is a draft document or a record in your quoting system. The provider should show how every proposed amount reaches that output. If a customer asks for something outside the approved list, the useful result is a question for staff, rather than a plausible-looking invented price.

Check whether the price is for a pack or an item

Create a fictional catalog where item P-10 costs $30 CAD per pack of five. A customer asks for four packs and an optional finish that has no approved price. The pack line is four times $30, or $120 CAD, before any other charges. The optional finish stays unresolved. A draft that counts twenty individual pieces and charges the pack price for each would produce $600 and fail the test. Have staff check the item reference, unit and quantity together, then compare the generated wording with those same fields. These are invented test figures, not suggested prices for your business.

Find out whether an edited draft gets new prices

A price copied into a document and a live quote record can behave differently. Microsoft documents that Dynamics 365 Sales adjusts draft quote prices to the actual price list when the quote is opened or edited. In that product, active and closed quotes do not make that same adjustment. For your chosen system, ask the provider to change a harmless test price after drafting and show what happens when the draft is reopened. Decide when your staff must recheck the amounts and what evidence of the approved version is retained.

Supports the Dynamics-specific distinction between draft and active/closed price adjustments. Other systems must be demonstrated separately; no general price-lock guarantee is asserted. Microsoft: draft quote prices can refresh when edited

Keep the offer review separate from writing

The reviewer checks the customer request, included items, unresolved options, approved amounts and current wording before the quote leaves the business. A friendly covering note must not turn a requested completion date into a promised date or add a discount that nobody approved. Keep source references available beside the draft. Ask how the implementation distinguishes a draft from something ready to send, and how a revised version stays connected to its predecessor. The linked expiry guide covers checking older offers after they have already been prepared.

Compare preparation effort on completed quotes

Use a worksheet with one row per comparable quote: current preparation minutes, assisted input minutes, price and scope checking, corrections and accepted result. Include cases that return to manual preparation. Add shared time spent updating the approved catalog or investigating mismatched units. Compare the total staff effort with your ordinary method, then include setup, software, usage and support costs. A faster first paragraph does not establish that the whole quote is quicker, and returned staff capacity does not prove additional sales or cash savings.

Choose the smallest useful setup

Your existing quoting software or a checked template may already assemble approved prices. AI help can focus on the part that still takes effort, such as interpreting varied requests or drafting clear descriptions. Confirm the exact account features and supported draft actions before approving an integration. Exovara can map one quote from request to staff approval, prepare a test with ambiguous units and scope a useful first version. Bring an approved price source and a harmless example; you do not need a technical specification to start the conversation.
