Do you need an AI receptionist or better call routing?

Compare phone menus, callback requests and conversational help using a call-purpose worksheet before buying an AI receptionist.

Choose the next step your callers need

Start with why people call and what should happen next. If most callers need a department or a message returned, a clearer phone menu and an owned callback queue may address the problem. Consider conversational AI when callers need to describe varied requests and the business has a defined way to handle them. Hearing a computer speak does not establish that it can answer open questions, check availability or change a customer record. Ask which of those jobs you are actually buying.

Check your existing phone features first

Microsoft Teams auto attendants, for example, support menu choices through telephone keys and, in supported languages, spoken keywords. They can also use different greetings and routing outside configured business hours. That can help a caller reach the right destination without a free-form AI conversation. A voice application is another arrangement: Twilio describes Conversation Relay as handling speech recognition and spoken output while you build the application around it. These are examples of different capabilities. Have your provider demonstrate what your actual phone service and account support.

Make a call-purpose worksheet

Review an approved sample of recent call records without copying private conversations into an unapproved tool. Record the reason, time of day, next step needed, whether that step happened and who owned it. Use categories such as department transfer, opening-hours question, callback request and detailed new enquiry. In an invented set of twenty calls, twelve might need a simple transfer, six a callback and two a longer discussion. Those counts would justify testing routing and callback ownership before assuming all twenty require an AI conversation. Use your own mix; these are not industry statistics.

Ask for four caller demonstrations

Use staff and fictional details in an agreed test setup. First, ask for accounts and check the actual destination. Second, request Friday service and confirm the system records a request rather than promising a slot. Third, correct one digit in a fictional callback number and check the final task. Fourth, ask for a person when nobody is available and check the agreed fallback. For conversational help, also try speaking over an answer and asking for a repetition. Record what the caller hears, what reaches staff and any correction needed. A fluent greeting alone does not pass these exercises.

Define a narrow conversational job

A useful first scope might identify itself as an automated helper, collect a callback request, read back the details and place it in a staff queue. Define what happens when it cannot understand, lacks an approved answer or cannot complete a transfer. Keep technical assessments, unapproved prices and appointment promises with the authorized staff or separately verified system. Agree what caller information is captured, where it goes and who can open it. If the provider proposes booking, require a demonstration of the actual scheduling connection and confirmation state.

Compare completed handoffs and running costs

Measure whether the correct person receives a usable task, not just whether the phone was answered. Count abandoned tests, incorrect transfers, missing callback details and staff correction minutes. Request the phone, call-usage, AI-processing, integration and support costs that apply to the proposed setup, including how transferred calls are charged. Compare these with your existing service and staff effort. A captured enquiry is not a sale, and less message preparation does not automatically reduce payroll. The related callback guide covers preparing the task once a message has been collected.

Buy the smallest improvement that fits

You may need a menu change, a clearer callback process, limited conversational intake or a combination. Give the provider the same call examples and expected destinations so proposals can be compared. Exovara can review the current call path, identify the useful first change and scope the connections, staff checks and handover. Start with ordinary callers and your existing phone arrangement. No new number, replacement phone system or unattended booking capability should be assumed before compatibility and the delivered scope are confirmed.
