Agree the handover before the build
Your business should know how a workflow is operated and what you can take with you if the supplier changes. Ask which accounts you own, which components are licensed and which parts depend on the supplier’s service. Put the answer in the scope. Do not assume a copy of your customer records includes the logic that processes them.
Define the handover package
For a hypothetical customer-intake system, request a process diagram, field dictionary, workflow configuration, approved templates, connection inventory and recovery instructions. Keep secrets out of the ordinary handover document. Record how an authorized administrator renews connections and who receives failure alerts. Include known limitations and a small set of test examples.
Test an export rather than trusting the label
Google provides ways to download supported account data, but an export is not a promise that another tool can recreate the same working system. Ask your supplier to demonstrate an export of the specific records you need. Open a sample, confirm that attachments and identifiers are usable and check what is missing. Do this with permitted test data before a contract ends.

Check that another person can operate it
Have an authorized colleague follow the instructions to inspect a failed test run and identify the next step. Check that account access belongs to your organization and that shared links do not depend on a departing person. Discuss any transition assistance and its cost. Keep the original service active until a replacement process is tested, rather than disconnecting it as the first step.
Value continuity honestly
The immediate benefit may be less dependency and easier support, not fewer staff hours today. Compare the cost of documenting and testing a handover with the likely disruption of losing access. Include export maintenance and periodic access checks in the budget. A small, clearly documented workflow may be a better purchase than a larger system only one person understands.
