Start with a short script your team already approves
Text-to-speech tools can create a voiceover from written instructions. That can be useful when you want consistent narration or need to revise a short training clip without recording every sentence again. Begin with one ordinary office task and an approved script. Ask for a short narrated sample before buying a whole video library. Generating a clear voice does not establish that the instructions are correct or that the pictures show the same task.
Give the editor the script and the matching screen sequence
Provide the approved wording, the source revision, the intended audience and the relevant video or images. Identify product references, abbreviations and names that need a pronunciation check. Use material your business is permitted to upload and a voice you are permitted to use; do not assume a colleague has agreed to having their voice imitated. Keep customer details and unrelated notifications out of the source. If the procedure still needs explaining, prepare a usable staff guide first rather than asking the narrator to invent missing steps.

Use a script-to-screen listening record
For each short passage, record the approved text, the pronunciation you need, the matching screen moment, the caption text and the reviewer decision. In a fictional training clip, a stock reference A14 must remain distinguishable from A40. Another instruction says Save a draft and wait for supervisor review; the narration must not imply sending it immediately. In a third case, the voice describes saving while the screen has already advanced to a different step. These are written review cases to try with a provider, not audio or video we generated or tested.
Review the exported video, including its captions
Listen to the actual file staff will receive while following the approved script and watching the screen. Check important references, missing words, pauses and whether there is enough time to understand the action. Read the captions separately; a correct voiceover does not establish a correct transcript. If wording changes, check the narration, timing and captions again before replacing the shared copy. Keep the script available as a text companion. Cleaning up an existing human recording is a different job from generating new narration.

Try an existing video editor before adding another subscription
Microsoft documents Clipchamp creating narration from text, with language and voice choices, previewing and later editing of the saved voiceover. Its autocaptions guidance describes editable speech transcripts with timestamps and a downloadable caption file. Those are useful capabilities to demonstrate in your actual account. Confirm the intended language, available features, usage limits, voice-use terms and export options. Ask the provider to show an ordinary script correction in the editable project, then check its finished video; an account feature list alone is not a handover.

Buy a repeatable update process
A focused first scope can include the approved script, narrated sample, editable project, reviewed captions, final video and a named person who maintains them. Keep narration changes under the same approval as the instructions. Compare script preparation, listening, timing corrections and export with recording a person directly. Use the number of revisions and clips you actually expect, and include software, setup and review costs. Staff time released is capacity unless an expense changes. Exovara can help organize a small training-content workflow with a clear review and handover.
