A useful starting point
A full calendar is not a workable route when appointments leave no travel time. Start with a fixed buffer appropriate to your service pattern and let a coordinator review exceptions. Avoid promising that AI knows the actual travel conditions.
A worked example
For a hypothetical mobile service, a 60-minute visit followed by a 30-minute buffer blocks 90 minutes of capacity. A distant booking may need manual adjustment. Store appointment location in the authorized system and expose only the availability needed by customers.
Implementation and review
Google appointment schedules offer buffer settings on supported accounts. Check whether your current tool blocks the buffer across all calendars used for booking. Test a manually added appointment and a cancellation that frees the slot. The coordinator approves route feasibility before accepting an unusual request.

Measure the improvement
Compare late arrivals, rescheduling calls and unproductive gaps over a pilot period. A larger buffer can reduce booking capacity, so measure that tradeoff too. Include configuration and ongoing schedule review when estimating value; fewer interruptions are not guaranteed additional bookings.
