A useful starting point
Once leave is approved through your normal process, automation can identify responsibilities needing cover. It should not decide leave entitlement or approval. Feed it only the dates and operational information needed to plan coverage, without personal reasons for absence.
A worked example
For an example office coordinator away Monday and Tuesday, list opening duties, scheduled customer calls and pending deliveries. Each task needs a covering colleague and confirmation. A shared calendar entry alone does not establish that someone accepted the work.
Implementation and review
Check how your calendar exposes availability and whether appointment schedules should be adjusted. Your manager confirms coverage and affected bookings. Test overlapping absences and a later date change. Limit visibility of the checklist to people arranging work; employment decisions remain in the established HR process.

Measure the improvement
Compare last-minute reassignment messages and preparation time across several absences. Include manager review and replacement planning in the assisted total. Count saved coordination capacity separately from payroll costs, and include configuration and ongoing calendar maintenance.
