Make template selection explicit
An assistant that fills documents quickly is only useful if it starts with the current template. Keep a small approved catalogue rather than asking the system to choose whichever file looks newest. File modification time does not necessarily mean business approval.
Label each approved version
Record template ID, purpose, version, effective date, owner and approval status. In a hypothetical service proposal, a newer draft might contain unapproved payment wording. The workflow should select the approved version and stop if two active versions claim to cover the same situation.
Build the document as a draft
Fill only supplied customer fields and keep the template reference in the internal record. Staff review missing details and the final output. Check version history in your document platform, and test a withdrawn template before enabling the flow. Never overwrite the master template with customer information.

Measure preventable corrections
Track template-selection time, outdated documents caught and the effort of maintaining the catalogue. Compare the assisted process with a simple shared approved folder.
