Should a blank field erase an existing customer detail?

Separate missing information from an intentional deletion when importing customer updates. Agree clear rules before connecting forms, spreadsheets and your CRM.

A missing answer is not a deletion request

A customer submits a new delivery preference but leaves the optional phone field empty. Should your system remove the phone number already on file? Usually, the form alone cannot answer that question. In this hypothetical example, the customer may simply have skipped a field that was irrelevant to the change. Before connecting forms to customer records, decide what missing information means. Otherwise, an apparently successful update can either erase a useful detail or leave information that someone deliberately wanted removed.

Agree three different actions

Give the workflow three clear choices: keep the existing value, replace it with an approved new value, or clear it following an explicit instruction. These are business decisions, not guesses for an AI assistant. For an ordinary optional field, no answer might mean keep. A supplied replacement needs validation. A deliberate removal should use a separate, understandable instruction. If the request is unclear, prepare it for a person to review. Avoid making customers type a special word such as DELETE into a normal address field.

Check the exact route into your software

HubSpot documents that blank spreadsheet cells are ignored by its import tool and do not clear an existing property value. Clearing values requires a separate supported operation. That rule describes the import tool; it does not establish how every form, connector or custom integration behaves. Ask your implementer to demonstrate the specific route you will use. A workflow that succeeds through a spreadsheet import may need different handling through another connection.

Write a small field-by-field agreement

For each field, record who owns it, where updates may originate, what no answer means, and who can authorize removal. Consider a delivery contact name, phone number and access note separately. A customer requesting a phone-number removal should not accidentally clear the entire delivery contact. A temporary access note should not become a permanent instruction without review. Use plain action labels in the review screen so staff can see the difference between unchanged, replaced and cleared information before approving a batch.

Do not replace unknown information with a convincing guess

An assistant can highlight missing details or prepare a clarification question. It should not invent a phone number, infer an address from an unrelated branch or treat a name found online as a confirmed customer contact. Also distinguish an empty answer from a failed read: if a source system is unavailable, pause the update instead of converting the failure into blank fields. Keep the original request linked to the proposed change so the reviewer can resolve uncertainty without searching through several tools.

Test both preservation and deliberate removal

Use fictional records in a test destination. Start with an existing phone number and submit a form that omits it; check that the agreed keep rule works. Then supply a valid replacement and verify that only that field changes. Try an explicit removal, an invalid value and a source connection failure. Write the expected outcome before running each case. Check the destination record, not just the workflow's success message. Where the chosen tool cannot express an intentional removal clearly, retain a staff-reviewed step.

Measure the administrative benefit

Pilot one customer-update process and record time spent reviewing changes, clarification requests and corrections. Retain only the change history needed for your operating requirements, with appropriate access. Agree how staff can recover an accidental update and who handles disputed information. The aim is a dependable handover that reduces repetitive checking.
