Start from a confirmed decision
An assistant can prepare the internal actions that follow a cancellation. It should not interpret a customer asking about cancellation terms as an instruction to cancel. Record who confirmed the decision and which job is affected before changing downstream work.
List the dependencies
For a hypothetical booked installation, check the staff calendar, reserved parts, supplier orders and customer update. Each is a separate task with an owner. A purchased item may require a buyer’s decision rather than automatic return, and a refund belongs in your approved financial process.
Track completion independently
Use a cancellation record linked to each follow-on task. A manager confirms the customer message and any commitments. Test a job with two visits and a customer reversing their decision. Check whether your tools support draft changes; do not mark the whole cancellation complete because one calendar event was removed.

Measure coordination effort
Compare time spent notifying teams and correcting stale bookings, including review of exceptions. Track unresolved tasks, not just the number of automated actions.
