Readable text is only the first step
An assistant may turn a photo or scanned PDF into useful text, but that does not establish that every number belongs to the correct item. Before extracted details flow into an order or project record, compare them with the original document. The useful output is a checked set of fields with a source reference, rather than a polished paragraph that hides uncertainty.
Try a document with a difficult layout
Create a fictional supplier sheet containing two products, their quantities, unit labels and model numbers. Include one wrapped description and one faint character. Keep the test free of private customer information. After conversion, ask a reviewer to match each field back to its row in the original image. A correct number beside the wrong product is still an error. Record unreadable fields as missing instead of letting an assistant fill them from context.
Know the limits of a familiar tool
Google Drive can convert PDF and image files into text through Google Docs. Google's guidance recommends upright, sharp images with clear contrast and notes that tables, columns and some other layout elements may not be detected. That feature may be useful for occasional conversion, but it does not establish that a multi-column supplier schedule has become a dependable structured record. Check the chosen tool with your actual document layouts before connecting it to another system.

Make the review screen useful
Keep the original page available beside the proposed fields. Show a document identifier, page number, extracted value and review status. For the sample supplier sheet, the reviewer confirms product code, quantity and unit together. If your extraction tool provides a confidence score, treat it as an aid to review rather than a guarantee. A score does not explain whether your workflow has confused an order quantity with a pack size.
Route exceptions before updating records
Your implementer can prepare a draft record and place incomplete or inconsistent rows in a review queue. The buyer or coordinator decides whether to request a clearer file, enter a corrected value or reject the document. Preserve the original and the correction history. Ask whether the proposed connector can provide page references and field-level results; do not assume that every tool exposing document text also provides those details. Begin with proposed updates only, then expand after representative testing.
Count the checking effort
For a small pilot, record the minutes previously spent retyping each document, the minutes now spent checking it and the number needing manual reconstruction. Include setup, document-processing charges and ongoing maintenance. A workflow that converts quickly but leaves staff rebuilding every table may offer little benefit.
