Check the speaker before trusting the summary
If an AI meeting recap attributes a promise to the wrong person, accurate wording alone will not make it useful. Before using a transcript for a customer update or internal handover, check who is credited with each important statement. Start with promises, approvals and disputed points. Leave uncertain speakers unidentified rather than asking an assistant to guess from job titles or the invitation list.

Use a short evidence check
For each consequential statement, prepare a review row with the meeting reference, timestamp, exact transcript excerpt, displayed speaker label and verification status. An authorized participant checks the relevant recording segment if available and appropriate, or asks the people involved for clarification. Keep the original label alongside any confirmed correction. If the evidence does not settle it, the output should say that attribution is unresolved. Do not quietly convert a room label into the organizer's name.
Separate a request from a promise
Consider a hypothetical project meeting. The transcript labels the customer and project coordinator as the same room speaker. One asks, 'Could this be ready Friday?' and the other says, 'I need to check the schedule.' A recap stating that the coordinator promised Friday would be wrong even if the names were later corrected. The reviewer needs both the speaker and the surrounding exchange. The proposed output is an open timing question until the responsible person confirms a commitment.
Test the export you will actually use
Run a short approved test with remote and shared-room participants, including someone who is not individually identified. Check whether the transcript export retains timestamps and speaker labels, and whether a later correction appears in the version your integration reads. Keep the source revision with the review record so an old export cannot overwrite a checked version. Do not introduce voice enrollment simply to remove a manual check; evaluate the available settings and participant choices first. Where transcript access is unsuitable, use participant-approved written notes.
Make uncertainty visible before anything goes out
An assistant can collect statements that need checking and prepare a draft after review. Staff should approve customer-facing wording and resolve uncertain attribution before a promise, approval or assignment is published. Define who can access the transcript, the review record and the final summary separately. If the transcript is missing, speakers are mixed together or a correction is pending, pause the affected output and show the reason. A confident rewrite should never conceal weak source evidence.
Measure the useful time saved
Compare manual review time with preparation plus checking time across several real meetings. Track attribution corrections and clarification requests as well as minutes saved. Include setup, software access, connector maintenance and the time participants spend confirming unclear statements.
