Keep discovery separate from agreement

A discovery recap should show what the client needs and what remains undecided. AI can help organize the notes, but it should not describe exploratory ideas as included services. Start with a reviewed recap before connecting the workflow to proposals or project setup.

Use a consistent structure

Capture the client's objective, current process, constraints, available tools, decisions made and unanswered questions. Record who owns each next step. If a budget or timeline was only discussed as a possibility, preserve that distinction.

Review scope language

The consultant checks statements that sound like commitments. Replace unsupported certainty with a clear open question. A note that says 'may need monthly reporting' should not become 'monthly reporting is included'. Keep a link to the source notes for internal review.

Connect only approved outputs

Confirm your customer system can store the approved recap under the correct client and opportunity. Keep internal assessments separate from the customer-facing version. If there are several opportunities for one client, use the opportunity reference rather than company name alone.

Measure the handover

Compare preparation time, omitted questions and corrections after the recap is sent. Track whether the delivery team can understand the agreed next step. Include review and template maintenance in the estimate. Better organization should support the consultant's relationship, not replace the conversation.
