Prepare a factual timeline for customer complaints

Bring source messages and unresolved questions together so a manager can respond with context.

Organize the evidence before replying

AI can help assemble a chronology from selected job records and customer messages. The output should support a manager’s review, not decide fault or whether compensation is due. A useful timeline distinguishes documented events, customer statements and questions still unanswered.

Link every event to its source

Record the timestamp, record reference, short neutral summary and source link. If an illustrative customer says a technician promised a return visit, label it as the customer’s account unless a record confirms it. Do not turn uncertain language into a factual commitment.

Check omissions and permissions

The manager reads the original sources and checks timezone differences, forwarded messages and missing attachments. Keep the timeline private to the appropriate team. Confirm document access and extraction accuracy in your tools. A customer-facing response should be drafted separately so internal comments are not accidentally included.

AI Builder can extract document fields. Extraction still needs checks against source records. Microsoft: document processing

Measure investigation preparation

Compare time to collect the record and the number of corrections needed before a manager can act. Do not measure success solely by faster closure; unresolved factual questions matter. Include setup, document processing, manager review and maintenance costs. Exovara can structure the evidence pack and task handover without making complaint outcomes or legal judgments for your business.
