Make the current version obvious
An assistant can help draft an update to a procedure, but staff need to know which version is approved. Start with one procedure owner and one authoritative location. Leaving several near-identical files in different folders makes retrieval harder for people and AI alike.
Describe the change request
Record what changed, why it changed, the affected role and the supporting information. Have the assistant propose revised wording and a short change summary. Do not allow a draft to replace the current instruction before the responsible reviewer approves it.
Review the consequences
Check whether the change affects training, forms, access or related procedures. Where legal or employment interpretation is needed, involve a qualified reviewer. The workflow organizes that decision; it does not establish that a policy meets jurisdiction-specific requirements.
Publish and notify deliberately
Retain the earlier approved version, label the new one clearly and identify the effective date. Confirm who needs to read it and how they can raise questions. Check version-history and permission settings in the document system rather than assuming every edit can be recovered.

Measure clarity
Track time preparing changes, repeat questions and cases where staff use an old version. Include document ownership and review time in the cost. A controlled update is valuable when it makes the right instruction easier to find, not merely when it produces a polished document.
