A useful starting point
Treat a CSV import as a proposed set of changes. Preview new records, updates and rejected rows before writing to the working system. AI may help explain mismatches, but a stable customer ID should determine which record is updated.
A worked example
For a fictional 50-row import, separate 30 existing customers, 15 new customers and five rows needing clarification. Preserve the original file and report the planned changes. A blank phone field should not erase a known number unless that behaviour was deliberately agreed.
Implementation and review
Import tools can detect types automatically. Check leading zeros, date formats and accented names before approval. Test duplicate IDs and rerun the same file in a test environment. Your administrator signs off the mapping and rollback approach before the first live import.

Measure the improvement
Compare import preparation and cleanup time with the manual method. Include rejected-row review and reconciliation. Small occasional imports may not justify custom software. Estimate setup and recurring maintenance alongside the staff capacity recovered.
