Give a customer FAQ assistant a clear handoff to staff

Define which questions can use approved answers and which need a person.

Start with stable information

A customer assistant can answer routine questions using approved service information. It needs a visible route to a person when the answer depends on an exception. Opening hours and published service descriptions are a better starting set than refunds, complaints or individual circumstances.

Write the answer boundaries

For each question, record the approved answer, source and owner. Identify details that change often, such as availability. If the assistant cannot see a current booking system, it should offer the booking link rather than claim a particular time is free.

Design the handoff

When a customer asks an unsupported question, collect only the context staff need and show the next step. Avoid promising response times that the team has not agreed to cover. A staff member should see the original question and previous answer so the customer does not repeat everything.

Test difficult conversations

Try unclear requests, out-of-date information and attempts to obtain another customer's details. Confirm where chat transcripts are stored and who can access them. Keep sensitive information out of a general FAQ library and verify permissions before connecting customer records.

Count resolved questions honestly

Measure supported answers, handoffs, repeat contacts and corrections. A conversation that ends is not necessarily a solved problem. Compare staff handling time with the costs of reviewing answers, updating information and maintaining the assistant. Expand the question set only after the first group works reliably.
