Agree what counts as the same record
Connecting a form to a customer system can save typing, but repeated submissions and retries can create duplicates. Decide whether the workflow is creating a person, a company or a job. One customer can legitimately have several enquiries, so those records should not all be merged.
Choose stable references
Keep the original submission reference and the destination record identifier. Normalize obvious formatting differences without assuming that matching names prove identity. Shared email addresses, changed phone numbers and similarly named companies need a review path.
Make retries safe
Before creating a record, check whether the submission already has a successful destination result. After creation, save that result. If the connection times out, investigate whether the action succeeded before repeating it. A vague 'failed' notification is not proof that nothing was written.
Test ordinary messy cases
Try a double-clicked submission, a changed address and two projects from one business. Check the duplicate behaviour of both connected products. If reliable matching is unavailable, send possible matches to a person instead of merging automatically.

Count cleanup as a cost
Measure entry time saved alongside duplicates, wrong merges and manual review. Include the time needed to fix a bad match across downstream systems. Start with creation and review, then add updates only after the record rules are dependable.
