Reply to customer reviews without sounding like a template

Prepare specific, respectful public replies while keeping private customer details out.

Use AI for the first draft

A review assistant can suggest a response based on the review text and your approved tone. A staff member should check it before publication, particularly when there is a complaint. Avoid copying a customer’s private account notes into a public reply.

Give the draft a narrow brief

Provide the public review, business voice and approved private contact route. A positive review mentioning a helpful explanation can receive a simple acknowledgement of that detail. Do not invent a staff interaction, offer a discount or add location keywords merely to make the reply longer.

Move disputed details to a person

If the review alleges a missed visit, prepare a neutral acknowledgement and internal investigation task. The public reply should not reveal appointment records or argue about account history.
