Agree the counting rule first
Before automating a target such as 'three business days after approval,' define what starts the clock and which days count. A calendar calculation cannot decide whether approval arrived before your cutoff or whether a workshop closure counts as a working day. Record those choices explicitly and distinguish an internal target from a date you have actually promised a customer.
Use a working calendar, not an AI guess
Excel's WORKDAY.INTL function calculates a date using a start date, a workday offset, a chosen weekend pattern and an optional list of excluded dates. Microsoft documents that the default weekend is Saturday and Sunday. The calculation uses the excluded dates supplied to it; it does not establish which closures apply to your business. Use approved calendar data and a tested calculation for the date. An assistant can help explain the result or flag missing inputs.

A small example shows the difference
For a hypothetical internal task, suppose the start date is Monday, September 14, 2026, and the rule is three working days after that date, excluding the start day. With a Monday-to-Friday working week and no closures, the target is Thursday, September 17. If Tuesday is a planned closure excluded by this team's rule, the target becomes Friday, September 18. Neither date says whether the team has enough capacity to finish the work. Staff must check that separately before making a customer commitment.
Keep the inputs beside the result
A useful due-date record contains the approved starting event, its date and time zone, the counting rule, working-week pattern, calendar version and calculated target. If work begins only after all artwork is approved, receiving the first attachment should not start the timer. Define how requests after a cutoff enter the calculation. Keep a separate explanation when staff override a target, rather than silently changing the input to force the desired answer.
Check different teams and changed closures
A sales office and a production workshop may follow different schedules. Identify whose calendar governs each internal target instead of applying one company-wide assumption. Assign someone to maintain closures and review what happens when a closure is added after targets have been calculated. Prepare a list of affected work for staff review. Do not automatically rewrite dates that customers have already accepted without an agreed communication process.
Test the awkward dates
Before connecting reminders, test a Friday start, a closed start date, a multi-day closure, a month or year boundary and a request just after the cutoff. Compare the results with the team's written rule. Test how your connector reads date-only values so a time-zone conversion does not move the start date. If inputs are missing or the calendar has not been reviewed for the period, show a pending calculation instead of inventing a date.
Judge it by fewer corrections
Measure the time spent calculating and checking targets, plus how often staff have to correct them. Include calendar upkeep, exception review, setup and any recurring software costs.
