How do you know AI help really saves your team time?

Compare complete tasks, including staff checking and corrections, before paying to expand an AI project. Use a simple weekly time worksheet.

Time the finished task

Measure the work from usable input to an approved result. A quick AI draft can still take time to prepare, check and correct. Before expanding a project, compare the total staff effort with your current method. Microsoft recommends recording the starting position and connecting AI use to business outcomes. You can apply that principle with a small worksheet; buying a new reporting system is not a prerequisite.

Agree what counts as finished

For a proposed customer-update helper, finished could mean a staff-approved message that preserves the job reference, describes confirmed progress and identifies unanswered questions. Producing a draft alone does not meet that definition. Keep the same completion standard for manual and assisted work. Separate staff minutes from elapsed waiting time: an unattended wait and a colleague actively fixing a message affect the team differently.

Use a worksheet that includes the awkward jobs

Record the job reference, type of request, manual staff minutes, assisted preparation minutes, checking minutes, correction minutes and whether the result met the agreed standard. Include cases where the helper produced nothing usable and staff finished manually. Also record shared overhead, such as updating the approved instructions or investigating a failed run. Choose approved examples that reflect ordinary work and its exceptions, rather than only the easiest messages. Twenty examples might be a useful starting exercise, but that number does not establish statistical confidence.

Work through the weekly comparison

Here is an illustrative calculation, not a client result. Assume twenty comparable updates take eight staff minutes each manually: 160 minutes. With assistance, each takes two minutes to prepare the input, two to check the draft and one for corrections on average: 100 minutes. Add fifteen minutes of weekly maintenance and review of failures. The net capacity returned is 160 minus 100 minus 15, or forty-five staff minutes per week. Replace every assumption with your own records.

Check whether volume changes the decision

Using those same assumptions for only five updates gives forty manual minutes and twenty-five assisted minutes. After fifteen minutes of overhead, the net time benefit is zero. The worksheet rule is weekly task count multiplied by the difference in staff minutes per task, minus shared weekly overhead. If that result is negative, the trial uses more staff time. Setup and training are additional one-time effort; include them separately rather than hiding them inside a successful-looking week.

Keep quality and costs beside the time result

A faster message that states the wrong work is not an acceptable improvement. Record failed completion checks and decide which errors require a pause before starting. Compare ordinary work over a stated period, using comparable cases and, where practical, colleagues continuing with the current method. Keep software fees, usage charges, support and setup costs beside the time worksheet. Returned staff capacity is not automatically a lower wage bill, and multiplying minutes by an hourly rate does not prove cash savings or additional revenue.

Use the result to choose a smaller next step

Decide whether to continue the same scope, fix a specific source of rework or stop the trial. Do not remove useful checking merely to improve the time figure.
