Start with identity, not the delete button
Two similar search results do not automatically mean one should disappear. Establish whether they represent the same business, separate eligible businesses, or an access problem with the existing profile. Make a short comparison record before changing anything. AI can help organize the evidence, but a business owner should decide what each listing represents.
Choose the correct route
Google says that an existing verified profile controlled by someone else should be handled through an ownership request. Its duplicate guidance distinguishes this from a merge request for two Maps profiles representing the same business, which Google reviews. Separate eligible businesses at one address may have their own profiles. A relocation should be handled by updating the existing profile, and multiple services should not become separate profiles. Removing a duplicate can remove its content and managers; a merge can lose replies to reviews. Check Google's current instructions for your exact situation before acting.

Prepare a comparison sheet
Record each public Maps link, displayed business name, address or service area, phone, website and visible review count with the date checked. Add which account has management access, without putting passwords into the sheet. Have the owner explain any former address, trading name or separate business relationship. Mark unconfirmed facts explicitly. A matching street address alone is not enough evidence for a merge request.
A hypothetical relocation mix-up
Imagine a repair business moves and a staff member creates a second profile. The owner recognizes both as the same operation, but an assistant initially sees two addresses and cannot establish that history. The useful output is a concise record of the move, both profile links, who has access and the factual discrepancy. The owner can then choose the appropriate Google support route. Do not manufacture matching details on the profiles merely to make them look eligible for a merge.
Keep changes deliberate and traceable

Record what changed and what remains unresolved, including any review-reply differences. Keep access ownership documented so the next staff handover does not trigger another unnecessary profile. A monitoring checklist can flag differences for review; it should not automatically overwrite them.
Keep the project proportionate
An owner with clear access and one simple correction may be able to follow Google's instructions directly. Assistance is more useful when records and responsibilities are scattered. Scope the work as evidence gathering, owner review and post-change verification. Compare that effort with the time currently spent untangling conflicting information, and include any ongoing monitoring cost. No consultant can guarantee a merge, restored content, ranking improvement or a particular support response time.
