Distinguish registration from confirmation
An event form can feed an attendee review list, with AI helping organize submitted questions. A completed form does not necessarily mean payment, eligibility or a reserved place. Define what your team considers a confirmed registration before preparing attendee messages.
Use one registration reference
Record the event ID, attendee name, supplied contact, status and relevant practical requests. Keep optional sensitive information restricted. For an illustrative workshop with limited places, a duplicate form should not consume a second seat, while two different attendees sharing an email should not automatically merge.
Review changes before exporting
Have the coordinator check cancellations, waitlist moves and the current capacity count. Confirm the form or ticketing system can export stable IDs and updated statuses. Test a name correction and a cancelled booking after an initial list was produced. Create the final attendee version with a clear timestamp.

Measure preparation and corrections
Compare time spent reconciling lists, answering registration questions and fixing duplicate entries. Include coordinator review, registration software and setup costs.
