A useful starting point
A file-organizing assistant should propose a rename map before moving documents. Keep an original-to-new reference and identify collisions. A tidy filename is useful only if people can still locate the file and connected processes continue working.
A worked example
For a sample batch of delivery PDFs, propose job ID, document type and date as the filename. Two documents proposing the same name need review rather than overwriting. An unreadable job number remains unresolved. Preserve the original document and its stable storage ID.
Implementation and review
Use a preview table for staff approval and test a small copy of the folder. Check whether your storage links survive renaming and whether any process depends on the path. CSV tools can help review the mapping, but confirm data types so job numbers stay intact.

Measure the improvement
Measure retrieval time and misfiled documents, including the cost of reviewing suggestions. Avoid reorganizing an archive without a concrete retrieval problem. Compare the benefit with setup, rollback preparation and the maintenance of naming rules.
