Decide whether the information should keep changing
A live link is useful when staff need the latest shared information. A fixed snapshot is useful when a record needs to show what was supplied or approved at a particular moment. Before an automation adds documents to a job folder, decide which purpose each document serves. Copying everything creates maintenance work, while linking everything can leave people unsure what an earlier decision was based on.
Use two different outputs for two different jobs
Imagine a fictional equipment supplier preparing an order pack. Its internal product-reference sheet should lead staff to the current shared file. The approved specification supplied with an individual order should remain identifiable as the version reviewed for that order. Record the order reference, source file, approval time and reviewer alongside the saved output. Label the working reference and approved snapshot differently so staff do not treat them as interchangeable.
Understand the shortcut behaviour
Google Drive describes a shortcut as a reference to an original file or folder. It points to the original rather than creating a separate copy. Creating a shortcut does not automatically change access to the original, and the shortcut's title is visible to people who can access its containing location. That makes placement and naming relevant even when the destination file has restricted access. Check your own document platform's equivalent behaviour before choosing a link operation.

Rehearse an update without touching a customer record
In a test folder, create a source sheet, a shortcut and a clearly labelled exported snapshot. Change a harmless value in the source. Have a colleague open both outputs and describe which changed and which remained fixed. Then check the experience using an authorized staff account with the intended access level. The exercise should reveal whether the proposed workflow delivers a current reference, a historical output or an unexpected mixture.
Keep approval separate from copying
A newly generated PDF is not automatically approved. An implementer can prepare the snapshot, record its source and place it in a review queue. The responsible employee should verify the contents before release and decide what happens if the source changes while review is pending. Keep a revision notice linked to the original order if a correction is later required. The process supports traceability; it does not establish a document's legal status or replace your retention policy.
Choose the smallest useful implementation
Start with one document type that causes repeated confusion. Track minutes spent finding the right version, making duplicate copies and resolving access requests. Subtract the new review and maintenance effort when estimating recovered staff capacity, and include storage, subscription and setup costs.
