Let service records drive the reminder
A maintenance reminder should start with an approved service schedule and an accurate record of the last visit. AI can help prepare the message and organize exceptions, but it should not invent technical maintenance intervals. The responsible service professional sets those rules.
Collect the right fields
Keep the customer reference, equipment identifier, last completed service, agreed next review date and contact preference. Distinguish a suggested appointment from a confirmed booking. If the equipment has been replaced or the property has changed hands, the record needs review.
Build an exception list
Missing dates, conflicting records and unresolved complaints should go to staff. Pause reminders after a booking or an opt-out where applicable. Avoid wording that suggests a customer is overdue for mandatory work unless that statement has been verified for their actual circumstances.
Check the connection
Confirm that service completions and future bookings can be read from the current system. A reviewed monthly list may be more reliable than real-time messages when records are inconsistent. Verify consent requirements for the intended communication before enabling automatic sending.

Measure appropriateness
Track time preparing reminders, incorrect reminders, customer responses and bookings. Do not assume every booking is additional revenue. Include record cleanup and exception review when estimating value. The workflow should help your team maintain relationships without sending irrelevant messages.
