Your staff need a way to continue when an integration is unavailable. Prepare a minimal manual job card before launching automation. The card captures work for later reconciliation; it should not recreate every field in the connected system.
A practical starting record
Include a temporary reference, customer-approved contact, requested work, owner, timestamp and next action. For a booking-system outage, staff can record a request without promising an unavailable slot. Mark the entry as pending reconciliation so it cannot be mistaken for a confirmed booking.
Review and tool fit
The supervisor owns reconciliation after recovery. Match temporary entries to actual records before importing them and retain the temporary ID. Test a customer who also submitted the online form. A structured sheet can support the fallback, provided access and offline availability fit your team.

Measure the real value
Time a short outage exercise: recording, locating and reconciling requests all count. Compare fallback maintenance costs with your tolerance for interrupted intake. A useful manual path may justify a simpler automation instead of an expensive attempt to remove every possible outage.
