A practical starting record
Record intended audience, desired action, channel, deadline, approved facts, asset links and reviewer. For a new-service announcement, identify the actual booking destination and the date the service becomes available. Leave unsupported proof claims out rather than asking the writer to make them convincing.
Review and tool fit
The owner approves factual inputs and the final draft. Use a controlled channel list to keep requests sortable. Confirm attachments can be shared with the assigned person without exposing unrelated files. Test a request with no destination and an urgent job missing an approver.

Measure the real value
Track clarification rounds, drafting time and review effort before and after the intake change. Compare configuration and recurring costs with the frequency of requests. A better brief may require no AI integration at all; start with the form and add drafting support only if it helps.
