Use notes to preserve agreements
A meeting assistant can prepare a recap and proposed tasks from approved notes. It should not transform every suggestion into an assigned commitment. Begin with one recurring meeting and a consistent way to record decisions.
Separate three categories
Capture decisions made, actions agreed and questions still open. For each action, record the owner and deadline only when explicitly agreed. 'We should look into this' is an open proposal unless somebody accepts the task. Link the recap to the original notes for checking.
Review before publishing tasks
The meeting owner checks names, dates and the meaning of each decision. Unassigned items stay visibly unassigned. Only the approved actions move to the team task system. Avoid notifying colleagues about guessed responsibilities that they then have to correct.
Check the source and destination
Use notes participants are authorized to share. Confirm whether the task tool can retain the meeting reference and avoid duplicate creation on retries. If recording or transcription is proposed, review the applicable permissions and data handling before introducing it.

Measure follow-through
Compare recap preparation time, corrections and actions that need clarification after the meeting. Track completion separately from task creation. Include the time spent reviewing the recap and maintaining the integration. A short accurate record is more useful than a polished summary that hides unresolved decisions.
