Why merged cells need attention before spreadsheet automation

Turn a visually grouped worksheet into reliable rows without losing which customer, order or project each line belongs to.

A merged heading can make a worksheet easy for a person to scan, while leaving an automation without a customer or project value on every row. Keep the original report, then prepare a separate table in which each detail row has the identifiers it needs. Do not let an assistant guess that every blank means the same thing as the row above.

Know what merging changes

Microsoft explains that merging cells keeps the content of one cell and deletes content from the others. Unmerging should therefore not be treated as a recovery tool for previously deleted values. Microsoft also documents sorting errors when a range mixes merged and unmerged cells, or uses merged cells of different sizes. Work on a copy and inspect what the cells actually contain before attempting a cleanup.

A hypothetical order sheet

Imagine an order number displayed once in a merged cell beside three product lines. A person understands that all three belong to that order. Your import needs the order number on each product record. Create separate columns for order ID, line ID, item and quantity. Repeat the verified order ID across those three lines, but do not repeat the whole order total on each line if the receiving system will add it three times. Keep order-level totals separately with clearly defined treatment.

Decide where a group ends

Before filling missing labels, identify the original merged range and compare it with the report layout. A subtotal, a blank spacer or a new section may end the group. Another blank can mean genuinely unknown information. Write an explicit rule for each layout and place uncertain rows in a review list. If the supplier changes the report format, pause that transformation instead of silently extending the previous rule.

Check relationships, not just totals

Ask the person who uses the sheet to inspect a multi-line order, a single-line order and a group boundary. Confirm that each detail line belongs to the correct order and that no heading or subtotal became an order item. Compare detail counts and quantities with the original. Then sort the prepared copy by order ID and review the groups again. Matching a grand total alone will not reveal two customers whose lines have been exchanged. Keep a link back to the source sheet and row for corrections.

Keep presentation separate from the working table

An implementation can preserve the attractive report for reading while generating a plain table for the automation. Confirm which worksheet, range or table the connector reads, what it expects in headers, and whether formulas need recalculating. Start with a sample export. AI may help explain irregular rows, but the approved transformation should follow a repeatable rule and stop when the layout no longer matches.

Decide whether cleanup is worth automating

If this is a one-time report, a reviewed manual conversion may be enough. For a recurring report, measure cleanup time, exception-review time and the frequency of layout changes.
