Start with the simplest version of the task
If a task has a clear trigger and fixed outcome, an existing software rule may be enough. If it involves interpreting varied notes, an AI drafting step may help. A custom system is justified by the requirements, not by how impressive the label sounds.
Try the built-in option first
List the trigger, required fields and desired result. A reminder tied to a recorded due date may already exist in your customer system. Test whether it handles cancellation, ownership and the exceptions you actually encounter. Include the staff effort needed to maintain the data.
Identify the missing connection
A connected workflow may be useful when information must move between products. Check whether supported integrations can preserve record references and handle retries. Two tools having an integration does not prove that the exact fields and actions you need are available in your plans.
Add interpretation deliberately
AI becomes relevant when the input varies, such as turning rough job notes into a proposed summary. Keep the draft separate from approved actions. Test real examples and record corrections. Do not add an agent to decide something that a simple fixed rule can handle reliably.

Compare complete proposals
Ask each provider to demonstrate the same example and explain the exception route. Compare setup, subscription changes, usage charges, review time, training and who owns the accounts. A lower setup price can be outweighed by recurring complexity. Buy the smallest version that passes the test, then expand if actual use supports it.
