Keep partial deliveries from becoming full-order mistakes

Receiving ten boxes does not mean an entire purchase order arrived.

The decision to improve

Receiving ten boxes does not mean an entire purchase order arrived. Build a receiving record that compares expected items with what staff actually counted. AI can extract delivery-note text, but the physical count stays the source of truth.

A practical starting record

For an illustrative order of 20 filters, record 12 received, eight outstanding, the purchase order ID, delivery date and packing-slip reference. Keep damaged items separate from usable stock. The output is a discrepancy list and an outstanding balance, not a completed order.

Review and tool fit

The receiver checks units, substitutions and split shipments before updating inventory. Match by order line, not just product name. Test a second delivery of the remaining eight and a duplicated scan of the first slip. A spreadsheet dropdown can distinguish received, damaged and pending; confirm your stock tool supports partial receipts.

Excel supports dropdown lists; the workflow described is a proposal. Microsoft: create a dropdown list

Measure the real value

Measure time spent investigating missing items and correcting premature completion. Include counting, extraction review and duplicate handling in assisted time. Compare recovered capacity with setup and recurring integration costs. Start with a review list before allowing any inventory write-back.
