A newly opened workbook can still contain an old summary
Do not treat the time an email was sent as proof that its spreadsheet summary is current. Before automating a weekly report, establish which source records it should contain, how its PivotTable refreshes and what confirms that refresh completed. The output should carry a clear reporting period and a checked source date, rather than an unexplained claim that the numbers are live.

Use an unmistakable test record
In a separate test workbook, add an approved sample order with a unique ID and an amount you can trace. Refresh the report and verify that the relevant category changes by the expected amount. Then change that sample's category and confirm both the old and new categories respond correctly. This hypothetical exercise tests more than whether a button works: it helps reveal a report pointing at the wrong table, range or workbook.
Make completion a condition of distribution
For a proposed reporting workflow, separate source retrieval, summary refresh, validation and sending into distinct steps. If source retrieval fails, do not email the previous summary under today's date. If a connection is still working, wait for a confirmed result within an agreed limit and report a failure if it does not finish. Test these behaviours in the exact integration chosen; a desktop setting does not establish what an unattended connector will do.
Keep a small review record
Save the report period, source identifier, selected record count, refresh result and the time validation passed. Have the report owner compare a few known records and category totals before the first live distribution. Flag unexpected empty results, missing columns and unusually large changes. AI can draft an explanation from these checked results, but should not invent a business reason for a change that has not been investigated.
Decide how corrections will be handled
An order entered late may legitimately change a previously shared total. Agree whether the next report includes a revision note or whether an amended copy is needed. Give each distributed version an identifier and retain the source used to produce it. Avoid silently replacing an attachment that someone has already used in a meeting or decision.
Automate only the parts that earn their cost
A documented manual refresh and review may be enough for an occasional report.
