Prepare a shareable PDF before asking AI to review it

Build a practical PDF handover: choose necessary information, apply redactions, check hidden content and verify the exact copy before sharing.

Start with the task, not the whole file

Suppose you want help comparing the service descriptions in several supplier proposals. The assistant may need the scope and assumptions, while unrelated contact details or account information add nothing to that task. Decide what the comparison requires before sharing documents. A small, approved extract can be easier to review than a full file with many removals. Use fictional examples while designing the process whenever real business records are unnecessary.

Marking a redaction is not applying it

Adobe documents a separate Apply step after selecting PDF content for redaction. Its workflow then offers sanitization and saving the resulting document. Do not hand over a file merely because the items to remove have been marked. Follow the documented process for the actual PDF tool and version your business uses, and check that the required feature is available in your edition. A visual change alone is not an adequate completion test.

Give one person the removal rules

For the proposed supplier comparison, have the document owner identify what may be shared and what must be removed. Specify the scope: for example, keep service descriptions and relevant exclusions, while removing unrelated account identifiers. Check every occurrence, including repeated page headers. Do not ask the assistant receiving the file to decide afterwards which private details it should ignore. If removing information makes the comparison misleading, narrow the question or arrange an appropriately authorized review instead.

Check information outside the page view

Adobe explains that PDF sanitization can remove information not visible on the page, including comments, metadata and hidden layers. Treat this as a separate part of document preparation. The person reviewing the final copy should know whether those elements were included in the removal process. Also inspect the filename before sharing: a cleaned document should not be sent with an unnecessary customer identifier still in its name.

Keep the original and the sharing copy distinct

In this workflow, retain the original in its existing restricted location and save the prepared copy in a separate review location. Give the copy a clear name and identify its source version internally. Only the approved copy should enter the next step. Do not place both files in a folder that the assistant or recipient can access indiscriminately. If the original changes, review the new version again rather than assuming an earlier approval covers it.

Verify the saved file before handing it over

Reopen the exact saved copy. Inspect all pages, search for the terms intended for removal and check extracted or copied text using approved local tools where appropriate. Use these checks alongside the redaction tool, not as a claim that a simple search proves complete removal. Confirm that necessary service descriptions remain readable and that nothing essential has been accidentally removed. For sensitive material, use the review standard and expertise appropriate to your business before sharing.

Make preparation repeatable without skipping review

A checklist can record source version, requested analysis, removal rules, tool used, reviewer and approved output. Automation can organize that handover and prevent an unreviewed copy from being selected. Test it with fictional proposals containing repeated identifiers and review comments before using real files. Measure preparation time and corrections, then compare the benefit with software and maintenance costs.
